Put AI to work. Keep your data yours.
AI can draft the letter, answer the routine call and find the answer buried in your files. We set it up the right way: private, secure, and built around how your practice or business actually runs.
Sound familiar?
- Staff pasting patient or client details into free AI tools
- No written policy on what AI can and can’t be used for
- Copilot or other AI tools able to see files they shouldn’t
- Nobody sure which AI tools are already in use
If any of these apply, an AI policy and shadow-AI audit is the place to start.
Five ways we help you use AI safely.
Start with one, or let us build a plan that covers all of them.
- 01
Private AI assistant
A ChatGPT-style assistant for your team, set up so your patient and business data stays under your control.
- Drafts emails, letters, summaries and policies in seconds
- Answers questions from your own documents and procedures
- Business-grade privacy settings, so your data isn’t used to train public AI models
- Sign-in and access tied to your existing staff accounts
- 02
Microsoft Copilot setup
Copilot can see everything a user can see. We make sure that’s only what it should be before you switch it on.
- Right licenses for the people who will actually use it
- Permissions cleanup across SharePoint, OneDrive and Teams
- Phased rollout, starting with a small pilot group
- Hands-on training so your team gets real value from day one
- 03
AI policy & shadow-AI audit
Your staff are probably already using free AI tools. We find out which ones, and give everyone clear rules.
- Check for AI tools and browser extensions already in use without approval
- A plain-English AI use policy written for your office
- Approved tools your team can use with confidence
- Staff briefing on what should never go into an AI tool
- 04
AI phone, front desk & automation
Let AI handle the repetitive work: answering routine calls, reminders and the busywork that eats your team’s day.
- AI call answering for after-hours and overflow calls
- Appointment reminders and follow-ups
- Automated hand-offs between the apps you already use
- Clear escalation to a real person when it matters
- 05
Private LLMs
For organizations that need more: a custom AI model built and hosted privately, on your data and your terms.
- Hosted privately rather than on a shared public service
- Trained or grounded on your own documents and knowledge
- Access controls that match who should see what
- Planned, built and supported by our team
Where AI saves time first.
Forget robots. The best first projects take one annoying, repetitive task off your team’s plate.
Meeting recaps and follow-ups
Teams meetings are recorded, summarized and turned into a list of who agreed to what, with the follow-up email drafted for you.
A calmer inbox
Long email threads summarized in seconds, replies drafted in your voice, and the messages that need you today flagged at the top.
No more retyping paperwork
Invoices, receipts and intake forms are read automatically and the details added to your spreadsheet or accounting software. A person just checks and approves.
Answers that aren’t stuck in one person’s head
Every office has the one person who knows where everything is. An assistant built on your own handbook and procedures answers staff questions, with a link to the source.
Calls and web leads answered fast
Routine and after-hours calls answered, caller details captured and appointments booked, so a busy afternoon doesn’t mean a missed new patient or customer.
Quotes, letters and proposals
Give it a few notes and get a first draft in your format and tone, instead of starting from a blank page.
Dental & medical offices
Less time on phones and paperwork, more time with patients. We help practices use AI for routine calls, reminders and drafting, with patient data kept out of public AI tools.
IT for practicesSmall & mid-size businesses
Give your team an AI assistant that knows your business, get real value from Microsoft 365, and automate the repetitive work between your apps.
IT for businessesSafe first. Then useful.
We don’t switch on AI and hope for the best. Every project starts with your data and your rules.
Free AI review
We walk through a typical week with you, point out where AI would save real time and where your data could be at risk, and hand you a one-page plan.
Policy and cleanup first
We check which AI tools are already in use, tighten permissions and agree on clear rules before anything new switches on.
Set up and pilot
We set up the right tools for a small group first, so you can see the results before rolling out to everyone.
Training and support
Your team learns to use it well, and we stay on hand for questions, changes and new ideas.
AI questions we hear most
Is it safe to use AI with patient or client data?
It can be, with the right tools and settings. Free consumer AI tools are the risk: what staff type in may be stored or used to train public models. We set up business-grade tools with privacy controls and, for practices handling patient data, choose options that support HIPAA requirements.
What is “shadow AI”?
It’s AI tools your staff use without the office knowing or approving, such as free chatbots, browser extensions and note-taking apps. They’re often harmless, but they can quietly send sensitive information outside your control. Our audit finds them so you can decide what stays.
Do we need Microsoft Copilot?
Not necessarily. If you already live in Microsoft 365, Copilot is often a good fit. For some teams a private AI assistant or a simple automation does more for less. We’ll recommend what fits how you actually work.
Will AI replace my staff?
That’s not the goal. The aim is to take repetitive work off your team’s plate, such as routine calls, drafting and data entry, so they can spend more time on patients, clients and the work that needs a person.
Isn’t AI just for big companies?
No. Small offices often see the quickest wins because a few hours saved each week makes a real difference to a small team. If you use Microsoft 365, you may already have some AI tools included that nobody has switched on.
We tried ChatGPT and it was just okay. Why would this be different?
A chatbot on its own is a general tool. The difference comes from setting AI up around one of your real tasks, such as meeting recaps or entering invoices, with your own documents behind it. That’s what turns “interesting” into hours saved.
What if the AI gets something wrong?
We build in a human check. Anything that goes to a patient or customer, or touches your finances, is reviewed by a person before it goes out. We also start with low-risk internal tasks, like drafting and summaries, and expand as your team gains confidence.
Does my team need to be technical to use it?
No. If your staff can send an email, they can use it. We do the setup, then train your team on their own everyday tasks so it feels useful from the first day.
Where should we start?
With the task your team complains about most. Repetitive work with a clear routine, like data entry, follow-up emails or answering the same questions, is usually the best first project. One working win shows more than any demo.
How much does it cost?
It depends on what you need, from a one-time policy and audit to an ongoing private AI setup. Every client gets a custom quote after a free AI review.
